HCAI Update: Release 3.32 Goes Live November 18, 2024 / Spetember 17, 2024


HCAI System Release 3.32 will go live on November 18, 2024, and is the final release scheduled for this year. This bulletin provides an overview of the enhancements included in the release.

Here’s what you need to know about Release 3.32:

1. Updates to the Password Reset Process

  • As a security enhancement, User Administrators will now receive an emailed copy of the password reset link that is sent to users when certain requests are made.
  • To help facilitate the password reset process, User Administrators will be able to share this email with the user in case the latter did not receive it.
  • As a reminder, users should ensure that they have marked HCAI email addresses as “safe senders” so that they can receive important messages including verification codes and password reset emails. Please review HCAIinfo’s Login Help page for instructions explaining how to add an email address as a safe sender.
  • For PMS User creation and password reset, the Authorizing Officer will receive the email link containing the PMS User Name which they can forward to their PMS Vendor, and a separate email letting them set the password.

2. Enhancements to the Form 1

  • HCAI is enhancing the look of the Form 1 Assessment of Attendant Care Needs.
  • Form processes will not change, but minor improvements in layout and function will offer a more efficient user experience.

3. Browser Compatibility Updates

  • For the best user experience, access HCAI on a secure, up-to-date web browser. As of Release 3.32, we recommend using Microsoft Edge, Chrome, or Firefox on Windows 10, or Safari 17 on MacOS Sonoma (Version 14.0).

System Outage

An HCAI outage is needed before every new system release in order to implement the changes. In preparation for Release 3.32, the following system unavailability window is planned:

Friday, November 15 – Monday, November 18, 2024

  • The HCAI system will be unavailable from 5:00 p.m. (ET) Friday, November 15, 2024 and is expected to resume active status at 8:00 a.m. (ET) Monday November 18, 2024.
  • Every facility must have their transactions successfully processed by 4:59 p.m. (ET) Friday, November 15, 2024.

Other Important Reminders

We would like to remind you that in order to ensure HCAI security remains aligned with best practices, a security update is planned for the end of this year.

  • It is important to use an up-to-date operating system and browser when accessing the HCAI web application. For information on the latest device requirements and recommended settings for using HCAI, review HCAIinfo’s Computer Requirements and Tips page. Please upgrade to the recommended settings in the Web Browser and Operating System Compatibility section.
  • For facilities that access HCAI via a Practice Management System (PMS), please be aware that we have communicated all of the details in regards to this update to the vendors directly.

As part of the ongoing maturity of the HCAI system, data retention requirements have been defined.

  • All documents will become candidates for deletion from the HCAI system seven years after their associated claim has been closed (i.e. deactivated in HCAI) by the insurer.
  • This is a long-term project that will not begin as part of System Release 3.32, but ample lead-time is being provided to enable healthcare facilities to prepare.
  • As a separate process from data deletion, it is recommended that facilities create new draft OCF forms as older drafts may not reflect the most recent OCF version in HCAI and may not be able to be submitted.
  • As a reminder:
