HCAI Update - Release 3.20 / June 28, 2018


HCAI’s fall System Release 3.20 will be available on October 1, 2018.  Updates in Release 3.20 include:

  • The Form 1 is now mandatory in HCAI and is added to relevant Reports
  • Enhancements to the HCAI User Interface
  • Improved OCF Search results
Planned HCAI System Unavailability

In preparation for Release 3.20, the following system unavailability window is planned:

September 28 – October 1, 2018

  • The HCAI system will be unavailable from 5:00 p.m. (EDT) on Friday, September 28, 2018 and is expected to resume active status at 8:00 a.m. (EDT) on Monday, October 1, 2018.
  • Every Facility must have all of its transactions successfully processed by 4:59 p.m. (EDT) Friday, September 28, 2018.
What’s Changing?
  1. The Form 1 is mandatory in HCAI
  2. Following a successful two-year voluntary pilot period, the Form 1 is becoming mandatory in HCAI as of October 1, 2018. The Form 1 is used to report the need for attendant care as the result of an automobile accident, and may only be completed by an Occupational Therapist or Registered Nurse. HCAIinfo.ca contains helpful step-by-step text and video resources to walk you through completing each section of the Form 1. If you access HCAI using Practice Management System (PMS), talk to your PMS Vendor to find out about their plan to implement the Form 1.

    Facilities should continue to submit invoices for the Form 1 outside of HCAI.

    Newly Updated Reports
    We have updated two reports to reflect your Form 1 transactions in HCAI. You will now have the option to include the Form 1 when generating the Facility Submitted Plans Report and Submitted Forms by Insurer Report.

  4. Updates to the OCF search results
    Users can now view up to 100 OCF search results on one page in an intuitive tabular format.

    These search results can be downloaded as .CSV files and easily reviewed in a spreadsheet program such as Microsoft Excel, giving you the opportunity to expand your Facility’s reporting capabilities by customizing your view of the OCF data. Please note: When opening a CSV file in Excel, your tool’s settings will determine how the data is displayed. If you would like the data to be formatted in a specific way (for example, dates formatted as MM/DD/YY), this can be modified in your Excel settings.

    A Widescreen View of HCAI
    Users will benefit from a new widescreen view when they visit www.hcai.ca. You’ll notice this update on the Plans, Invoices, Search, and Manage tabs.

  5. E-mail address field is now mandatory for new users
  6. When adding a new user, the e-mail address field is now mandatory. This will allow all users to take full advantage of upcoming HCAI features, make it quick and easy for you to retrieve your lost password, and allow HCAI to answer inquiries from any user.
    We encourage you to update existing user accounts that have no e-mail address associated with their account. Updating a user email address is easy! Visit HCAIinfo’s Update User Information page for step-by-step instructions explaining how to update a user’s email address. Only users with the Facility User Administrator role may update user information – talk to your Authorizing Officer to learn who at your Facility has this role in HCAI.

  7. Continued support of new versions of web browsers
  8. For the safest user experience, access HCAI using a supported, up-to-date web browser. HCAI recommends using Internet Explorer 11 and Windows 7 for Microsoft users, and Safari 10 and Mac OS X 10.12 for Mac users.  We recommend not enabling Compatibility View for HCAI.ca when using Internet Explorer 11.
